Bookkeeping Software vs Paper-based Accounting
The concept of a paperless office is very much popular these days. Paper, although it is easily available and rather inexpensive has many disadvantages that makes businesses look to software solutions to replace traditional paper based activities. The field of bookkeeping is no different, as bookkeeping programs are available these days that are excellent replacements for a paper based accounting system.
Paper creates storage and security problems. While paper based accounts are easy to manage initially when a business starts up, they become harder and less desirable as the company grows, and with it the volume of accounting books and consequently the demand for storage space. Also, unlike bookkeeping programs that usually provide increased security, account books are harder to protect from unauthorized access.
Bookkeeping software makes it easier to handle bookkeeping and taxes, and allows accounting records and information to be accessed faster without taking up much storage space. Bookkeeping programs also provide many new functions and features that simplify and enhance the bookkeeping process such as reporting tools that make it easy for users to generate and print out various reports. In the end, bookkeeping software saves a business time and effort, minimizes quantity of errors and allows easier sharing of data while providing real-time information about accounts. It is much easier to backup accounting data stored in
bookkeeping programs and backups can be also be stored away from the business location, so that in case of natural disasters or fire or destruction of the office by any unfortunate event, it is easy to get accounting records back. But with paper accounts, often the records are permanently gone.
Thus bookkeeping software is vastly superior to paper accounts. However care must be taken when purchasing one. When buying
bookkeeping software online, one must primarily look for ease of use and learning. Care must be taken to see whether the program's interface is uncluttered and intuitive. Even if the software is full of features, if it is not easy to learn for the potential user, then it may not be a worthwhile buy.
